Facility Rentals

Rent a town recreational facility for your group, program or event.

Organized gatherings on municipal property require a permit, liability insurance, and are only allowed in designated areas. Parking for facility rentals is restricted to designated areas only.

Permits are confirmed when signed by an authorized representative, with full payment or an approved monthly payment plan. For more information, review our Facility Allocation Policy.

Community centre room or gymnasium permits

  • Room capacities will vary depending on type of activity and room set up requirements.
  • There is two-hour minimum rental time for all room bookings unless in combination with ice or pool party packages.

Individual and small group fitness permits

Organizations looking to provide individual or small group (set out by capacity limits set out by the province) outdoor fitness or training (e.g. boot camps) can apply for a permit online.

Ice or arena floor permits

  • All rates are per 50-minute hour.
  • Dressing rooms are available to permit holders 20 minutes before their permitted ice time and must be vacated within 30 minutes after the permitted ice time.
  • The team/group is required to obtain a key for the dressing rooms. The town will not be held responsible for any loss or theft of personal items.
  • No persons shall enter the ice surface while the ice resurfacer is on the ice and/or the arena service door is open.
  • Capacity restrictions apply.
  • Warm up activities must be confined to the designated area and properly supervised. No running in the hallways or stairways nor use of the parking lot are allowed.
  • You can now book last-minute ice up to five days in advance (to the hour).

Picnics and social gathering permits

  • Picnic bookings can be made online up to 45 days before the selected date of your booking. 
  • The start times offered are 8 a.m., 11 a.m., 2 p.m. and 5 p.m., but you may reserve a three- or six-hour block online.

Due to construction at Lions Valley Park, we will only be permitting picnics at Coronation Park for the 2022 season.

Pool permits

  • Rates are based on a maximum of 30 people on deck.
  • Additional charges for lifeguards will apply for larger groups.
  • All swimmers must shower before entering the pool.

Queen Elizabeth Park Community and Cultural Centre

Weddings

These public parks are available for our entire community to enjoy. We cannot guarantee that these spaces will not be accessed by other residents during your visit.

Photography permits

Permits to take photos in specific locations can be requested up to 45 days in advance. There are also destination parks that do not require a permit.

Photography bookings are offered in 90-minute sessions, based on availability. Groups that have a confirmed reservation can capture their special moments throughout the park location but are asked to be considerate of other users.

Outdoor ceremonies

The Town of Oakville is pleased to offer outdoor wedding ceremony permits for Nottinghill Park and the Butterfly Gazebo at Bronte Heritage Waterfront Park, these permits do not include a municipal officiant. For details about Town Hall wedding ceremony permits, please visit our Marriages page.


Be a good neighbour!

Permit holders – sports organizations, teams, players and residents – who are using the Town of Oakville’s sports fields are required to conduct themselves in a respectful and responsible way. That’s what we call being a good neighbour.

Whether booking a space for your next event or enjoying a park space casually, please only bring reusable or biodegradable containers (over plastic). If using plastic, please dispose of your items in the appropriate recycling bins provided.

Inappropriate behaviour

Parks staff conducts regular checks of sports fields and parks to ensure proper use. The majority of sports field users act in a respectful way, however, there are occasions when inappropriate behaviour is reported such as:

  • aggressive or bullying behaviour
  • foul language
  • public urination
  • littering
  • smoking
  • drinking alcohol on public property, or
  • leaving field lights on after play is finished.

Report an incident

There is now a formal procedure to investigate and manage inappropriate behaviour by users of our sports fields. If you witness or experience any conduct violations, please report the incident through our online Inappropriate Behaviour Reporting Form.

Criminal behaviours such as illegal substance use, fighting or assault, theft, possession or use of weapons, or harassment (non-emergencies) should be reported to Halton Police at 905-825-4777.

Consequences and enforcement

Incidents of inappropriate behaviour by permit holders or team members will be investigated within five business days. If the details are confirmed, disciplinary action will be taken within 10 days. Action can include a verbal and/or written warning, fine, permit suspension or loss of permit, depending on the severity of the incident and any prior violations. If we are unable to confirm the complaint or accurately identify the offenders, no action will be taken, but the report will be kept on file.

Suspension appeal process

Permit suspensions can be appealed within 14 days. New evidence must be submitted along with a fee of $250. Appeals will be reviewed by a panel chaired by the commissioner of Community Services. If the appeal is successful, the suspension will be lifted and the fee will be refunded in full.

  • Cancellations must be submitted in writing a minimum of 14 days before the (first) rental date for a full refund.
  • Refunds requested within less than 14 days’ notice cannot be accommodated.
  • The department reserves the right to cancel a room rental agreement or close any function for failure to observe all facility conditions, and/or retain full or portions of the damage deposit.
  • An administration charge as set through the annual budget process will be levied for all payment returned non-sufficient funds. Notice will be sent to customers with non-compliance payments and facility access may be restricted until outstanding payments are rectified.

Submit school board rental requests for the 2022-2023 school year by Friday, May 27, 2022.

Facility access will be available from September 2022 to June 2023. School closure dates will be reflected on facility rental contracts.

Confirmations are expected to be provided to the Town of Oakville by the end of July.

Halton school boards staff have shared that multiple groups will be allowed to access facilities at the same time.
